Board Meeting Minutes

Monday, October 2, 6:00 p.m.

Geyserville Oriental Hall

Call to Order: Anna, Paul, Stacy, Julia, Lisa, David, John, Kyle, Martin

Approval of Agenda

Approval of 08/07/2023 Minutes

Reports Treasurer – Anna has not heard back from Roxanne Berg, the accountant, about signing the taxes for 2022. Dana Syfert, insurance agent, has still not contacted Anna about additional rider of $600.00. Christia at Brandt Insurance is writing Additional Riders as well. Julie is going to talk to her about the additional riders to get more information and clarification of what we need. The corner project, Art Torano’s property, still has a fence up at this time. There is a piece of art on the property, but it can only be viewed through the fence. Donations from the sculpture event are going back as $400.00 to general fund, and $100.00 to Sculpture Trail & Garden.

Website – Martin, for future events it might be more efficient to have a QR Code for donations, so people can just tap on their telephone to donate. It would be nice to get pictures of the “Butterfly Event” onto the web-site.

Sculpture Garden – Kyle, There was a follow-up article about the “Butterfly Event” in The Press Democrat. The event was very successful. Food was great. The “Picture Frame” is up and lots of pictures are being taken. Bryce wants to invite cars from the car show to take pictures in front of the frame. Bryce owns the real property/ land, the Scuplture Trail & Garden/ GCF owns the horse. The insurance agent, Dana Syfert, advised not to put up signs around the horse. Children were climbing on the horse on Bryces property at the “Butterfly Event”. Should we put up a fence and/ or signs around the sculpture trail to protect us from liability? There was a great number of students that attended the event. Can we make an agreement with Bryce to be an additional insured on his policy? Should we invite an insurance agent to help us out with our insurance questions?

Julia is going to invite Christia from Brandts Insurance to our next meeting to answer our questions.

Bryce is giving away a lot of food from local gardens and handing out picked flowers down town. Bryce has built 6 tables with benches and umbrellas. The GCF does not own the “Picture Frame” that was built by Bryce. If art is purchased from the sculpture trail the artist gives 10% to GCF and then keeps the rest. The “hand” has not been delivered yet. There is still some paper work that needs to be finalized. The director who is managing were the “Hand” is sitting now at the Santa Rosa Plaza has asked for our insurance. GCF cannot take the piece until we receive legal title, we need a legal agreement to transfer title. The planned location at this for the “Hand” is the corner lot in Geyserville, currently owned by Art Torano. GCF cannot take possession until there is a formal signed agreement.

Odd Fellows Hall- There was a small meeting of the Hall Association, the actual group that owns the building, Dallas Saundes, Gretchen, Steve, Josh & John. Carlos Martinez from the county. They are reviewing a number of options. Odd Fellows is not a 501C3 group. In this community it is just GCF and the Historical Society that are 501C3.

Year End Appeal- Are we all good with that? John will resend before sending it out to the community.

Oliver Ranch Tour- October 22nd. We will be using a limosene service since the bus driver from Geyserville retired. Prices are a little bit more because of the possible overtime. Anna is willing to drive a van the school is allowing us to use. Other tours take more than one car to the Oliver Ranch. There are still 18 more tickets to sale.

Old Business; Year End Appeal from 2022, Should we disburse the rest of the funds? John motioned to give $2000.00 to Redwood Empire Food Bank & $2000.00 To La Familia Sana, Julia 2nd the motion all in favor I. There is $1254.07 left from Appeal 2022 for expenses for upcoming Appeals.

We hear it strongly that this community is in need of a 501C3 group to help disperse funding to local program. After the first of the year we are going to talk more in depth on how we can help and what it might require from GCF.

Martin brought up that we do not want to forget about donating to the Boys & Girls Club of Geyserville. They are in a location that is not as visible so sometimes they can be forgotten about. The Boys & Girls Club is a needed program for many children whose parents cannot pick them up immediately after school. It provides the children of our community a safe place to be.

When we disperse money from the next Appeal Boys & Girls Club of Geyserville and The Church will be given first priority of funds.
